This policy applies to personal information collected through our website at elitemedia.studio, via email enquiries, and through the course of delivering our services.
The entity behind
this policy.
1.1 Elite Media Studio (EMS) is a visual content studio. The legal entity is DPSydney Pty Ltd (ABN 74 682 192 650) trading as Elite Media Studio, operated by Phil Dabboussi as Creative Director, based in Inner South-West Sydney, New South Wales, Australia.
1.2 We are the entity responsible for managing your personal information in accordance with this policy and the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth).
1.3 While EMS's current annual turnover is below the $3 million threshold that triggers mandatory APP compliance for most businesses, we adopt the Australian Privacy Principles as our standard for handling personal information because it is the right way to operate and because our clients expect it.
The data
we collect.
2.1 We collect personal information reasonably necessary to provide our services and run our business:
- Your name, email address, and phone number when you submit an enquiry or contact us directly.
- Your business name and ABN where relevant to a commercial booking.
- Brief and project information you share during consultations.
- Payment details — we do not store credit card or bank account information. Payments are made by EFT and bank details appear only on invoices.
- Images and video of you (and any other persons you bring to a shoot) produced during the engagement.
- Standard web-server logs when you visit the website (IP, user agent, referrer, pages viewed).
- Cookies and similar technologies (see Clause 7).
How we use
your information.
3.1 We use personal information to:
- Respond to enquiries and deliver our services.
- Communicate with you about your project, invoice, and deliverables.
- Meet tax, accounting, and other legal obligations.
- Improve our website and services.
- Use images and video for portfolio and promotional purposes, subject to the consents recorded in the Client Agreement and any signed model release.
- Contact you about your past work or our services, where you have engaged us.
3.2 We do not sell your personal information. If you book with us, we may occasionally email you about your past work or our services. Every one of those emails has an unsubscribe link, and we stop sending as soon as you use it.
Who we share
information with.
4.1 We may share limited personal information with:
- Payment processors (Stripe, Xero) to bill you.
- Cloud storage and delivery platforms (e.g. Cloudflare R2, Resend for email) to deliver files and communications.
- Professional advisors (accountants, lawyers) where strictly required.
- Government or regulatory authorities where required by Australian law.
4.2 Our third-party providers may store data outside Australia. By using our services you consent to this cross-border handling for the purpose of service delivery.
Access, correction
& deletion.
5.1 Under the Australian Privacy Principles you may:
- Request access to the personal information we hold about you.
- Request correction of any inaccurate information.
- Request deletion where we no longer need it for the original purpose and no legal obligation requires us to keep it.
- Withdraw consent to portfolio / promotional use of images in which you appear.
5.2 Email hello@elitemedia.studio with the request. We will respond within 30 days.
Extra care
for children.
6.1 Images of children (under 18) are handled with additional care. We will not publish identifying information (full name, school) alongside any image without separate written consent from the parent or legal guardian.
6.2 Where a parent or guardian requests removal of an image of their child on genuine safety grounds, we will comply promptly. See the Minor Model Release signed at the time of the shoot for full details.
Cookies &
tracking.
7.1 Our website uses minimal first-party cookies for session state, and Vercel Analytics for anonymised traffic measurement. We also use third-party advertising and analytics cookies, which allow advertising platforms to recognise that a browser visited our site or submitted an enquiry, and to measure the performance of our advertising. These cookies do not transmit your name, email address or phone number.
7.2 You can disable cookies in your browser settings without affecting your ability to read the site. Advertising cookies can also be managed through your browser or through the advertising platform's own settings.
How we protect
your information.
8.1 We take reasonable steps to protect personal information from unauthorised access, modification, or disclosure. This includes TLS for all web traffic, encrypted cloud storage, and access controls on our internal systems.
8.2 No internet-based service is 100% secure. We take the steps a reasonable professional studio would take; we do not promise perfect security.
How long we
keep it.
9.1 We retain personal information only as long as it is needed for the purpose for which it was collected, or as required by Australian law (e.g. seven years for tax records).
9.2 We retain Deliverables (edited images and video) for our portfolio archive indefinitely unless a confidentiality restriction is in place or you request removal under Clause 5.
If something
goes wrong.
10.1 If you believe we have breached the Australian Privacy Principles, email hello@elitemedia.studio. We will respond within 30 days and work in good faith to resolve the issue.
10.2 If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or 1300 363 992.
